• Identity Verification: Government-issued ID copies, tax forms (W-9, W-8BEN), and electronic signatures via DocuSign

Information Collected Automatically

• Usage Data: Pages visited, features used, time spent on the platform, click patterns, and interaction with AI tools
• Device Information: IP address, browser type and version, operating system, device identifiers, and screen resolution

• AI Processing: To power our AI Command Center, including natural language processing for guest communications, property analysis, revenue optimization, and automated task management. AI models process your data to generate responses, recommendations, and insights
• Account Management: To manage your subscription, process payments, authenticate your identity, and provide customer support
• Communication: To send transactional emails (onboarding sequences, invoices, notifications), marketing communications (with your consent), and AI-generated guest messages on your behalf
• Analytics and Improvement: To analyze usage patterns, measure feature adoption, identify bugs, and improve our platform

04AI and Automated Decision-Making

RealtevoOS uses artificial intelligence extensively. Here is how:

• AI Guest Messaging: Our AI reads incoming guest messages, generates context-aware responses using your property details and communication guidelines, and can send replies automatically or as drafts for your review
• Dynamic Pricing: AI analyzes market data, seasonality, demand patterns, and competitor pricing to recommend or automatically adjust your nightly rates
• Lead Scoring and Follow-Up: AI evaluates incoming leads and automates personalized email sequences based on lead quality and engagement
• Property Analysis: AI processes publicly available data to generate revenue projections and market analysis for potential properties

You have the right to review AI-generated actions before they are executed. All automated email sequences can be configured to require manual approval, and AI guest messages can be set to draft mode for human review.

05Cookies and Tracking Technologies

• Essential Cookies: Required for basic platform functionality including authentication, session management, and security. These cannot be disabled.
• Analytics Cookies: Help us understand how visitors interact with our website, which pages are most popular, and how users navigate the platform. You can opt out of these.

• Account Data: Retained for as long as your account is active, plus 30 days after account deletion for recovery purposes
• Property and Booking Data: Retained for the duration of your subscription and up to 3 years after termination for tax and legal compliance
• Communication Logs: Guest messages and email records retained for 2 years for quality assurance and dispute resolution
• Analytics Data: Aggregated, anonymized analytics data may be retained indefinitely
• Financial Records: Retained for 7 years to comply with tax and accounting regulations

08Your Rights

Depending on your location, you may have the following rights:

RealtevoOS is not intended for children under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected information from a child under 18, we will take steps to delete it promptly.
